Asset Withdrawal Approval Process — User Guide

Important Notes

  • Maker-checker control: The same user cannot both initiate and approve a withdrawal request.

  • Policy changes: Once a policy is created, it can be edited but not deleted.

  • Availability: This feature is currently only available on the UI.


Step 1: Create a Policy

Only Authorised Representatives of the company can create or update a policy.

Navigate to Admin tab > Policies, then click Create Policy on Withdraw Asset to set up your approval rules.

Selecting users:

  • The user list displays all users who have withdrawal permission.

  • A user can be assigned both the maker role and the checker role.

 

Setting the quorum:

  • Define the minimum number of approvals required before a withdrawal can proceed. The minimum quorum is 1.


Step 2: Initiate a Withdrawal

  1. Begin an asset withdrawal as usual.

  2. Complete two-factor authentication (2FA) to submit the request.

  3. The request is logged in the Admin tab under Pending Requests, along with the email address of the user who initiated it.


Step 3: Review the Request

Complete two-factor authentication (2FA) to submit the request.

Cancel (Maker)

The user who initiated the request can cancel it at any time if the withdrawal details are incorrect.

Approve (Checker)

Only users with the checker role can approve pending requests.

  • Approved requests move to the Approved tab as an audit trail.

  • The approving user(s)' email addresses are recorded for audit purposes.

Reject (Checker)

Only users with the checker role can reject pending requests.


Step 4: Completed Withdrawal

Once a request is approved, the withdrawal will appear under Transactions > Deposits and Withdrawals.
